As part of the Senior Management Team, the Director of Finance reports to the Executive Director. This position is responsible for the financial management of the HHSVA, including financial statements and analysis, budgets, cash forecast, yearend external audit, management of 5 Finance staff, PCI compliance, cyber security and presentations to the Board of Directors. Financial Reporting and Analysis Prepare timely and accurate financial statements in compliance with Canadian accounting standards for non-for-profit organizations Prepare various internal financial reports for Management and the Board, including Key Performance Indicators and Dashboard Manage the annual budget process, working with the various managers to develop detailed budget files which are then consolidated to forecast hospital donations, capital needs, Balance Sheet and Cash Flow statement Reporting of donations to HHS, including some in Restricted Funds Ensure financial targets are met, including Current Ratio, Months Cash on Hand and yearend cash balance Assist the Executive Director with preparing long-term financial plans, including compensation, capital and donations Update weekly cash forecast, ensuring sufficient funds for operational and capital needs, as well as for donations committed to HHS Complete annual Registered Charity Information Return (T3010) for CRA Attend monthly Board meetings, providing a written narrative to accompany the financial statements, and a verbal update as well as answering any questions from Board members Plan, organize and coordinate year end close and audit process with external auditors, ensuring the preparation of the financial statements, notes, trial balance, working papers and adjustments Funds Management Update the cash forecast weekly, monitoring receipts, disbursements, loans and donations Account for the allocation of funds donated to the hospital, tracking individual project budgets and expenditures Forecast cash flow positions and related borrowing needs when required Maintain banking relationships Management Maintain a documented system of financial and accounting policies and procedures Manage the Finance department, including hiring, training, monitoring work completion, annual performance reviews and performance improvement plans Set annual strategic and operational initiatives for the Finance department, ensuring progress and eventual completion Manage the payroll function, acting as a backup and ensuring payroll compliance and accuracy Participate in annual strategic planning process, at the management level and the board level Compliance Ensure annual external audit is completed by managing timeline and preparing working papers, in conjunction with the Board Finance committee Comply with government reporting requirements including the review and completion of tax and information filings Perform Operational Reviews and customer service internal audits Responsible for Payment Card Industry compliance for controls around debit and credit cards and cyber security Compliance for lottery tickets and break-open tickets with the City of Hamilton and the Alcohol Gaming Commission of Ontario Operations Participate in key decisions as a member of the executive management team Evaluate and maintain accounting, internal control systems and internal and external loss prevention methods Oversee and manage financial systems implementation and upgrades Act as a cheque signer, verify payments and ensure the cash forecast supports the disbursements Responsible for overseeing and monitoring bi-weekly payroll, including yearend reporting of source deductions, T4s and T4 Summary Attend and contribute to various regular meetings, including Senior Management meetings, Risk Management and Quality Improvement Provide updated information annually for insurance renewal with HHS
