Location: Flexible work arrangements – preferably Ottawa Business Sherpa Group is searching for a Director of Finance and Operations on behalf of one of our not-for-profit clients. The Director of Finance and Operations will be a strategic thought-partner, supporting the organization across Finance and Operations. The successful candidate will be a hands-on, transformational, and participative leader who will develop an internal support team in the following areas: finance, business planning and budgeting, administration, and IT. The Director of Finance and Operations will play a critical role in partnering with the senior leadership team in strategic decision making and operations as the organization continues to build capacity while enhancing quality, efficiency, and effectiveness.
Key responsibilities include Lead a diverse team across finance, IT, and organizational administration. Oversee the accounting operations of the organization, including monthly, periodic, and annual financial statement preparation, including tax compliance, GL management, project/ program and grants accounting, internal controls, and contract review. Lead the annual budgeting and planning process; administer and review all financial plans and budgets; monitor progress and changes; and keep senior leadership team abreast of the organization’s financial status. Coordinate and lead the annual audit process, prepare financial records for annual audit, and provide support to external auditing firm as required; liaise with external auditors and the Finance & Audit Committee of the Board of Directors; recommend changes necessary.
Implement a robust contracts management and financial management/ reporting system; ensure that the payables and receivables schedules are adhered to, and that financial data, forecasting and cash flow are steadyand support operational requirements. Financial remittances: ensure the submission of all government remittances and reports; ensure preparation of annual tax returns. Support the Executives on critical financial matters presented to the Board of Directors and at the Annual General Meeting. Oversee all banking and treasury relationships and requirements.
Work closely and transparently with all external partners including third-party vendors and consultants. Support the application of sound project management methodologies, principles, and practices. IM/IT: Support the current technology capabilities while championing new digital solutions that improve business operations including robust document retention plans and strategies. Monitor, manage and improve the efficiency of support services and coordinate support functions to enable the organization’s operational effectiveness.
Provide oversight and direction to the Finance and Operations Team in accordance with the organization’s culture, policies, and procedures. Other duties as required. Essential Qualifications Bachelor’s degree in finance, accounting, business management or related field, or an acceptable combination of education and experience; Chartered Professional Accountant or related certification preferred. Minimum 10 years overall professional experience, ideally with seven-plus years of broad financial, operations management experience, and experience engaging and developing teams by coaching and supporting success.
Ability to understand the organizations position relative to external landscape and to scale from big picture to details anticipating emerging trends and leveraging the right resources and tactics to deliver on outcomes. Ability to proactively initiate and prioritize tasks and organize a diverse workload taking into consideration multiple priorities, deadlines, and outcomes. Strong relationship management skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders, including Executives and Board of Directors. Critical thinking and ability to synthesize information and decide on actions; Strong investigative, analytical, and interpretative skills.
A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making. Ability to motivate teams and simultaneously manage multiple initiatives. Excellent business acumen including a comprehensive understanding of financial matters and the relevance to the organization’s priorities. Action and results oriented.
Proficiency in Windows, including MS Word, EXCEL, PowerPoint, Access, QuickBooks online. Highly Desirable Qualifications Experience of final responsibility for the quality and content of all financial data, reporting and audit coordination for either a division or significant program area, and has preferably overseen a human resources function previously. Technology savvy with experience selecting and overseeing software installations and managing relationships with software vendors; knowledge of accounting and reporting software. A successful track record in setting priorities; keen analytic, organization and problem-solving skills which support and enable sound decision making.
Ability to translate financial concepts and to effectively collaborate with program staff who do not necessarily have finance backgrounds, to support project and budget development, implementation, tracking and reporting.
