Mohawk College is currently recruiting for our next Lab Operations Officer Reporting to Associate Dean, Allied Health, the Lab Operations Officer supports the needs of the allied health lab spaces (Sonography, Cardiac Sonography, Radiography, Radiation Therapy, CVT, Pharmacy, OTA/PTA). Responsibilities: The duties of this position include, but are not limited to: School of Health Campus Operations Support Coordinating and completing all spot bookings and schedules for the labs from various sources after corporate schedules have been confirmed. Setting up of lab environment at all locations (IAHS-satellite) to ensure correct delivery of specific labs and simulations.
Works with lab personnel consisting of technologists and students to determine potential issues with set-up and take-down of floor plans, and troubleshoot conflicts. Moving equipment and mannequins between lab spaces as needed. Organize and onboard the lab security for the Medical Radiation Sciences programs. Organizing and supervising sign-up sheets for practice lab opportunities.
Point of contact for students requiring support or direction specific to equipment failure, malfunction, warnings. Proactively recommend process improvements through analysis of current procedures; review business process and refine work flows to improve efficiency/effectiveness and maintain a high level of customer service to students, staff and faculty Lab Equipment and Software Support Assists to find products to order when equipment purchase is needed for inter-professional experiences. Assists faculty and staff as needed with computer software solutions related to online scheduling requests and equipment sign-out. Support Allied Health program-specific software use and documentation of software configuration and record use.
Serve as liaison between faculty, software vendor, and Mohawk IT, when appropriate, helping to address implementation and usage issues that may arise Organizes hazardous/biomedical waste pick up for the IAHS and satellite campuses. Assists with development and maintenance of annual equipment inspection for IAHS. Responsible for all related WASP entries. Purchasing Services Processes and controls purchasing functions for all academic lab courses within the allied health portfolio at the School of Health campus, and affiliated satellite locations Plan, implement and manage procedures to optimize inventory controlvia WASP electronic inventory system Identify shortages and act in a timely manner Define individual program usage and track them regularly Work with CSEP students to ensure effective loan out and return of items, following up with users when necessary Process the ordering of new assets and disposable lab supplies for Allied health lab programs in the School of Health and Community services programs including outreach and satellite locations Work with operations manager assistant in processing remediation of old equipment and recalls Work with Associated Dean of Allied health and the Simulation Director to purchase new equipment, track and update the expenditure planner to ensure staying within allocated budget Reconciling monthly statements for disposable purchases and rental agreements through web requisitioning, E-Way on-line ordering, internal stores requisition or corporate purchasing card Initiating and processing standing orders for annual supply and service contracts for labs in the Allied Health programs, and tracking expenditures to ensure sufficient funds are available and review with financial manager when potential overspending will occur Verifying order accuracy and receipt of goods and services, processing invoices for payment, in a timely manner Liaising and troubleshooting with suppliers, faculty, staff, and administration for missing paperwork (packing slips, invoices, etc.), order discrepancies, unavailable products, backorders, cancellation of services, etc.
Creating and maintaining an accurate and reliable record and retrieval system to track all purchases, including requisition/PO ’s with accounting information and reporting expenditures to Support Officer – Finance & Admin, Operations Manager or Associate Dean. Alerting Support Officer – Finance & Admin of any expenditures that require transferring actuals, due to incorrect/change in accounting information. Event Planning Under direction from the Associate Dean Allied Health and working with the campus scheduling officer, the incumbent plans, develops, coordinates, and implements, all external activities within the School of Health and Community services labs Arranges for paid services and materials needed for successful execution of events, including space and equipment rental, payroll services for contract employees, parking, food services and insurance coverage as per college policies and procedures Prepares detailed information for invoices and charges back for events held at the School of Health Simulation Centre Ensures appropriate record keeping and statistics to assist in future planning Administrative Support Documenting student and staff concerns and issues relating to the labs requiring the Associate Dean’s attention and proactively assembling additional data to support the decision-making related to the issue(s) associated with the lab Data gathering, compilation, and organization for a variety of reports and new lab/simulation proposals Supports academic schedules for lab bookings within the IAHS. Working with the Simulation Support Officer where needed.
Generates correspondence related to the labs at the School of Health to internal departments, external individuals and agencies as needed On behalf of Associate Dean Allied health, the incumbent prepares electronic scheduling for technologist’s time and works with them to identify gaps in service, arranging for part time staff as required through online applications including the processing of temporary contracts Liaises with McMaster bookstore and external partners to organize and update student lab kits for School of Health programs as required Assists with the facilitation of tours of the labs Maintain equipment and lab cleaning schedules and requirements Other duties as assigned. Qualifications: The successful candidate will have: 2-year diploma in Business, an Allied-health related discipline, or a related field of studies; or equivalent combination of education and experience Experience with project management Minimum 3 years of practical experience in the academic environment with an emphasis on improving work flows and departmental processes. Work requires that the incumbent have a strong desire to improve end-user experience with the ability to problem solve, prioritize, manage information databases and understand inter-departmental relationships. Experience working with healthcare-related software, such as GE PACS, EPIC, Propel Rx or Pharmapod considered an asset Prior healthcare experience considered an asset Demonstrated commitment and understanding of human rights, equity, diversity and inclusion with the ability to communicate and work effectively with diverse groups of students, employees and the community.
