Our client, a reputable private wealth management company is looking for an experienced Manager of Operations to join their high-performing team. Their head office is located in downtown Toronto (hybrid working model). Reporting to the COO/ Head of Operations, this is an important role overseeing the company’s day-to-day operations while working collaborative with Department Heads to fulfil ad-hoc requests. Securities Operations Management: Oversee relationships with custodians and ensure the safekeeping of client assets.
Manage corporate actions processing, such as dividends, stock splits, and mergers. Perform daily/weekly reconciliations of positions within the custodian system (i.e. NBIN). Assign security classifications for client statement reporting to newly added securities.
Review transaction values to ensure accuracy in pricing. Operations Management: Manage the activities of Operations functions to ensure timely and accurate processing of transactions. Implement proactive follow-up procedures for any exceptions to maintain data integrity. Oversee the settlement process to ensure timely and accurate settlement of trades.
Manage the reconciliation of trades, positions, and cash balances to identify and resolve discrepancies. Supervise the maintenance of client accounts and ensure accurate record-keeping. Client Statement Processing: Efficiently coordinate the quarterly generation of client statements within the Harmony system. Supervise the printing and posting process on the client portal to ensure accuracy and timely delivery.
Generate precise data files for the custodian, facilitating the seamless production of tax slips. Retrieve and analyze pertinent custodian reports to provide a thorough and insightful overview for strategic decision-making. Download and review tax slips prepared by the custodian, including T3, NR4, T5013, and other relevant documents. Communication and Relationship Management: Establish proactive communication channels with internal and external partners.
Maintain high service levels and facilitate efficient problem resolution. Collaborate cross-functionally to streamline processes and enhance collaboration. Client Services: Facilitate the onboarding of new clients. Address and resolve operational issues and inquiries from clients in a timely and efficient manner.
Skills and Qualifications: 4 years of progressive work experience in the Private Wealth Management or Investment Management industry. Proficiency in operating the Harmony system is required. Familiarity with the NBIN importer process would be an asset. Bachelors’ Degree in Commerce, Business Management or a related field is an asset Completion of the Canadian securities course would be an asset.
Comprehensive knowledge of securities settlement processes and key players in the Canadian securities industry. Exceptional organizational skills with meticulous attention to detail. Strong communication and interpersonal skills. Analytical mindset with effective problem-solving skills.
